Customer Logistics Coordinator - 12 month contract

An exciting and challenging contract position exists as a Customer Logistics Coordinator at Vega’s head office in Burnaby, BC. As the Customer Logistics Coordinator, you will be responsible for the management of customer accounts, from order receipt and system entry to physical delivery. This will include customer communication, order entry, on-time delivery monitoring, troubleshooting/problem solving, and supporting Sales promotions, seasonal and new item launch support. The ideal candidate will live the Vega brand and have a relentless passion for delivering world class customer service.  You will bring 1-2 years of customer service logistics experience to the team along with proficient organizational and communication skills.

Key Responsibilities

  • Order entry and analysis for key Strategic Accounts and Independent Retailers using Netsuite
  • Problem solving surrounding shipment tracking, returns and credits, internal system operating issues, and general strategic account inquiries
  • Liaise between the Sales Team and key departments to facilitate the transfer of information with a focus on an exceptional customer experience
  • Collaborate with the Production Team and Sales Team to ensure all off shelf projects are fulfilled and delivered on time
  • Daily sales order status reporting to Strategic Account Managers (SAMs)
  • Work closely with the Sales Planning & Strategy Team to support promotion strategies and new product load-ins, as well as to communicate streamlined processes out to the broader Sales Team
  • Customer relationship management – effectively deliver communications on service interruptions and product availability
  • Prompt customer communication regarding Out-Of-Stock (OOS) items and On-Time-Delivery (OTD) stats
  • Liaise with warehouse teams on inventory availability and ensure customer compliance requirements and guidelines are being followed
  • Update and maintain all order entry systems including Salesforce, Handshake, OrderDog, Scan
  • Genius, SPS commerce
  • Process sample orders as per requests from SAMs – (i.e. large demo orders)
  • Review customer scorecards and push for improvements on metrics within your control – i.e. Fill Rate/OOS Confirmations
  • Investigate invoice/payment processing problems and facilitate issue resolution
  • Update and maintain SOPs (Standard Operating Procedures) and WI’s (Work Instructions) for all order entry processes and procedures


Skills and Qualifications

  • University or College Degree in Business, Operations, Sales or Marketing or equivalent experience
  • 1-2 years of previous experience in customer service role with logistics background preferred
  • Passionate about delivering world class customer service in a timely manner
  • Experience with NetSuite, Salesforce and Smartsheet is preferred
  • Proficient organizational, data entry, and communication skills
  • Solution oriented with a professional and personable approach to responding to emails and requests
  • A passion for problem solving, resolving customer issues, and decision making
  • Detail oriented with the ability to see the big picture and streamline process
  • Ability to multitask across program applications
  • Ability to work cross-functionally with various teams within and outside of Vega
  • Desire to work both independently and collaboratively within a high-performing team environment
  • Intermediate competency in Microsoft Outlook, Excel, PowerPoint
  • Fully bilingual in French and English a strong asset
  • Self-motivated and committed to continuous learning
  • Ability to maintain a high level of performance under pressure in a fast-paced environment
  • Ability to follow complex instructions and procedures, and maintain documentation of standard procedures
